1. Who we are
Romina Dos Santos, trading as Mina's Table, is the controller responsible for the personal information described in this notice.

2. Information we collect
When you send a reservation enquiry, we collect your name, email address, phone number, party size, preferred date, time and seating, plus any optional message you provide.
Optional messages may contain dietary, allergy or accessibility information. Please only include information needed to help us accommodate your visit.
For website security and abuse prevention, our form processes a one-way hash of your network address and recent submission times. Our hosting provider may also create routine server and security logs.
3. How and why we use it
We use your information to:
- respond to your enquiry and arrange, confirm or change a booking;
- contact you about your requested visit;
- operate and protect the website and prevent misuse; and
- meet legal obligations where they apply.
We rely on steps requested by you before entering into a booking arrangement, our legitimate interests in managing enquiries and securing the service, and legal obligations where relevant.
If you voluntarily provide health-related dietary, allergy or accessibility information, we ask for your explicit consent and use it only to accommodate your enquiry. You can withdraw that consent before your visit by contacting us, although this will not affect earlier lawful use.
We do not use reservation enquiries for marketing.
4. Who we share it with
Information is available only to Mina's Table staff who need it to handle your enquiry. We also use Namecheap for website hosting and email delivery, and Microsoft Outlook as an email inbox. These providers process information for us to supply those services.
We may disclose information if the law requires it or where needed to establish, exercise or defend legal claims. We do not sell your personal information.
5. How long we keep it
Reservation enquiries are kept for up to 12 months, then deleted unless we must retain particular information for a legal reason. The form's anti-abuse check uses recent submission timestamps within a 15-minute rate-limit window. Our providers manage routine server and security logs under their own operational retention controls.
6. International processing
Some service providers may process information outside the UK. Where this happens, we expect them to use a lawful transfer mechanism and appropriate safeguards required by UK data-protection law.

8. Your rights
Depending on the circumstances, you may ask for access to your information, correction, deletion, restriction, portability or object to certain use. You may also withdraw consent for health-related special-request information.
